1. Scope
This Privacy Policy describes how Apex Sync LLC ("Apex Sync," "we," "us," or "our") handles information through our websites, internal business systems, and the Google OAuth application identified as Aron Integration (the "Integration"). The Integration is used to connect accounts authorized by their owners to Apex Sync's private business-assistance and workflow-automation systems.
2. Information we access
We access Google account information only after an account owner grants permission through Google's OAuth consent flow. The information available depends on the permissions that person approves and may include:
- Basic account information, such as name and email address.
- Gmail messages, message metadata, drafts, labels, sending functions, and authorized Gmail settings.
- Google Drive files and content in Docs and Sheets.
- Calendar events, contacts, people and directory information, and tasks.
- Google Chat or Classroom information when those services are specifically authorized.
- Technical and operational records needed to authenticate requests, prevent duplicate actions, troubleshoot errors, and maintain an audit trail.
Granting one permission does not grant access to every category above. Google limits access to the scopes displayed and approved during authorization.
3. How we use information
We use authorized Google user data only to provide and secure requested business functions, including reading or organizing information, preparing and sending user-authorized communications, maintaining calendars and business records, updating documents or spreadsheets, responding to user instructions, detecting duplicate or failed actions, troubleshooting integrations, and protecting account security.
We do not sell Google user data, use it for targeted advertising, or use it to build advertising profiles.
4. Automated and AI-assisted processing
Some requested workflows use automated or AI-assisted systems to interpret instructions, summarize content, draft material, organize information, or carry out an authorized task. Only the information reasonably necessary for the requested function is provided to configured service providers. Apex Sync does not use Google user data to develop or train a generalized advertising profile.
5. Sharing and disclosure
We do not disclose Google user data except:
- To service providers that process information on our behalf to operate, host, secure, or support the Integration.
- At the direction of the account owner or when necessary to complete a user-authorized action, such as sending an email to its intended recipient.
- When reasonably necessary to comply with law, enforce rights, investigate abuse, or protect users, Apex Sync, or the public.
- As part of a business transaction, subject to appropriate confidentiality and data-protection obligations.
6. Storage, security, and retention
We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, alteration, disclosure, or destruction. No storage or transmission method can be guaranteed to be completely secure.
We retain information only for as long as reasonably necessary to provide the requested services, maintain security and operational records, resolve disputes, satisfy legal obligations, or support legitimate business needs. We then delete or de-identify it where reasonably practicable.
7. Your choices and controls
You can review or revoke the Integration's access at any time from your Google Account connections. Revocation prevents new access but may not immediately remove information previously retained for legitimate operational, security, backup, or legal purposes.
To request access to, correction of, or deletion of information associated with your authorization, email lucas@apexsync.biz. We may need to verify the requester's identity and authority over the relevant account.
8. Children
The Integration is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children through the Integration.
9. Changes to this policy
We may update this Privacy Policy as our systems or legal obligations change. The effective date above identifies the latest revision. Material changes will be posted on this page.
